2. Onboarding a new team member — start to finish
From the moment they say yes, to a complete record with training booked in.
STEP 1
Offer accepted
New starter agrees to join. Create their Team Member record, set status to “Onboarding”.
HR
STEP 2
Contract signed
Signed contract arrives by email and is labelled in Inbound Comms, then pulled onto the right person’s record.
Inbound Comms
STEP 3
Record completed
Department, manager, personal info and emergency contact filled in. Org chart updates itself.
HR
STEP 4
Training assigned
SOP-watch tasks for their role are assigned from Systemisation. Training grid starts filling in.
Systemisation
STEP 5
Handbook issued
Handbook is issued. New starter reads it and (phase two) ticks to confirm.
HR
Where it plugs in: Step 2 needs Inbound Comms (the contract label route). Step 4 needs Systemisation + Tasks & Projects (the SOP-watch tasks). Both are finished by Kevin at integration — see HR-WORKFLOW.md.
3. Offboarding a team member — start to finish
A tidy, repeatable exit so nothing is forgotten.
STEP 1
Leaving confirmed
Set the person’s status to “Offboarding”. They appear in the Onboarding/Offboarding tracker.
HR
STEP 2
Exit checklist
Return equipment, revoke access, reassign their open tasks and SOPs to others.
Tasks
STEP 3
Record archived
Final pay and documents stored on the record. Org chart drops them from the live tree.
HR
STEP 4
Marked “Offboarded”
Status set to “Offboarded”. They leave active counts but the record is kept for the future.
HR
4. The three plug-in points, in one line each
📥 Inbound Comms
A “personnel contract” email label pulls a signed contract onto the matching person’s record.
⚙️ Systemisation
Each workflow’s SOPs become watch-tasks; finishing one ticks the person’s training grid.
✅ Tasks & Projects
Training-watch tasks and offboarding to-dos live here, assigned to the team member.
